As personal management software has continued to evolve, in both the standard desktop as well as the myriads of creative small applications and add-ins, the possibilities for variations in how to manage email abound. They can be coded, colored, and automatically filed. They can be sorted by prioritized senders. They can be deferred for retrieval at later times. They can be transferred and melded into task and to-do management functions in other parts of the software.
But no matter how you tweak it or how cool the unique features and good tricks are that you might explore and even integrate as consistent functions into your personal system, the core principles of good workflow management must be followed to foster relaxed control of the beast:
You must consistently review actionable emails. Once you get your in-tray to zero, it will feel fantastic. But you can’t ignore the batch of ACTION emails you’ve organized. The problem with computers as reminder tools is the out-of sight-out-ofmind syndrome. If you’re not reviewing them regularly enough, they will start to gnaw on your psyche, creating even more avoidance and bad feelings. People leave emails in their in-tray to begin with for the same reason they pile things on their desk, thinking, “If it’s in front of me, I won’t lose or forget it.” Of course,[link widoczny dla zalogowanych], that seemingly practical habit of visual cuing is undermined by the volume and ambiguity of what’s in the piles. They create numbness instead of clarity. It’s much easier to assess your workload with actionable emails organized in one place. Use the DELETE key! The ease with which we trash things from our physical mail doesn’t seem to translate to the computer for many people–perhaps because emails don’t take up much physical space and they are so easily parked somewhere that’s not immediately in our face. Not only is poor typing speed inefficient, it creates a resistance to engage with email that undermines all the best intentions to get on top of it. If you’re not up to at least 50 words per minute, getting there with a good typing tutor could make a world of difference.
If you are in the small minority of people currently able to maintain less than a screen full of email most of the time (because your volume is low and/or you process them rapidly and consistently), your system is probably fine as-is. If you regularly have many more than that (hundreds, thousands?) residing in your email in-box, you’re dangerously subject to stress and numbness relative to your digital communication world.
The Basics

Now, at least, it will be much easier to review and evaluate a more complete inventory of your work at hand; and you’ll find it’s a lot easier to focus–on email or on anything else.

And your Search function can easily find most anything with a key word. Avoid using nested folders that you have to click open to find the file. One simple alpha-sorted list–by topic, theme, or person–is usually sufficient and easier to deal with on the run. Purge them when you have little windows of time with nothing better to do.
Managing the flood of email messages that most of us need to interact with on a daily basis is a growing challenge.
No one’s volume is diminishing. That “beast is out of the barn,” and we’re not going to be able to shove it back in!
So, getting a grip on it with a good systematic approach is critical for staying sane.
We have seen hundreds of unique ways people have come up with to manage their email, and many work just fine–as long as nothing is lost, the inventory does not continue to increase, and someone can easily see the emails they need to take action on. I re-discovered some of their pearls of wisdom just yesterday when I was reading to Kalyra the book ‘Tootle.’

Tootle had the makings to be the fastest train on the rails but he just couldn’t stay on them. Despite all his skills and deep desires he just could no help being enticed by the meadow. He began to fail ‘Staying on the Rails No Matter What’ and he was just going nowhere. His dream to be the NY flyer was getting further from becoming a reality.
Little Golden Books are just that as they contain within in them little Golden pieces of wisdom. Who ever knew as a child that the words of a golden book held such priceless lessons that could teach us how to live a rewarding, successful and fulfilling life.
As a child I loved to immerse myself in Golden Books,[link widoczny dla zalogowanych]. I loved the little stories and pictures and would read them over and over again. I held on to most of them and now delight in sharing them with my daughter.
My business has phenomenal success because it is founded on this principle. The community of people I work with in my business and the training I receive have taught me how to stay on track, ignore the diversions of the meadow and power on to be the best that I can be. Sometimes we need the help of a community and leaders to help us get back on track. He attends many classes but the most important is ‘Staying on the Rails No Matter What!’ His instructor is adamant that the trains will never be any good unless they can get 100 A+ in this course,[link widoczny dla zalogowanych]. They can afford to ‘spill the soup pulling the diner’ and ‘turning the milk to butter now and then’ but if they come off the rails they fail!
How are you going to get back on track and Who is going to help you?
The people of the village came up with a plan to get Tootle back on track and out of playing in the meadow. Tootle knew he always had to stop at a red flag and so the villagers hid in the meadow and at every turn of Tootle’s playing they held up a red flag and Tootle stopped.
Eventually he saw his teacher holding a green flag on the tracks and Tootle raced to get back on track. “This is the place for me” said Tootle. “There is nothing but red flags for locomotives that get off their tracks,[link widoczny dla zalogowanych].”
What is it that is in the meadow distracting you from become the ‘fastest train around?’ How do you see these eventually turning into red flags,[link widoczny dla zalogowanych]?
It doesn’t matter how talented you are or how much you say you want something, if you don’t commit 100 A+ to staying on the tracks no matter what then you just aren’t going to go anywhere!

What a profound message this story holds for it’s reader. Think carefully about it’s message and how it applies to your life at this moment.
He began to feel frustrated and disappointed in the meadow,[link widoczny dla zalogowanych]. How could he have any fun when he constantly had to stop,[link widoczny dla zalogowanych]? All the fun was gone and he found himself going around and around in circles,[link widoczny dla zalogowanych]. He couldn’t understand why the meadow was such a fine place to begin with and he longed for a green flag to help him get moving again.
Distractions such as TV, facebook, wii, eating, playing, gossiping,[link widoczny dla zalogowanych], non-productive tasks etc don’t help you to stay on track. Sure they are fun for awhile but eventually you’re going to get lost in this maze of red flags that just keep stopping you from getting to your destination. Pretty soon the fun will be gone and you will be frustrated,[link widoczny dla zalogowanych], longing for a way out.
Tootle wanted to be the NY flyer,[link widoczny dla zalogowanych]; the fastest train around. He began to work very hard to learn all he could but as time went by he kept getting distracted by all the fun things in the meadow and he would get off the tracks to go play.

Every morning before you take your medication, sit or lie down and relax for fifteen minutes. Start each session out by breathing slowly and counting on each exhale: 3 3 3 -- 2 2 2 -- 1 1 1. Then, 10 9 8, then 7 6 5, then 4 3 2, then 1 1 1.
There, now you know what to do to help your body heal. Now, I will show you some things you can do to keep your mind healthy.
My goodness, where does that get you? Agony, right? You don't want to be a victim, do you?
NOTE: You must keep up with your doctor's appointments. Do not, I repeat, do NOT expect this to take the place of regular doctor's visits. Let your doctor be a gauge of how well you are doing with your visualization. Feel good about this.

If you feel the need to be active, every morning have a regiment of walking around the house, or outside if you like, for fifteen minutes. The first five minutes, practice good breathing that gives your body a chance to heal. Breathe in four short breaths through your nose without letting it out. Then, on the exhale, breathe out your nose four short breaths. Do this for five minutes.
Then next five minutes, start each sentence out with *I am so happy and so very grateful, I have (am,[link widoczny dla zalogowanych], can . . . Whatever). And be thankful for all that you list. Then the last five minutes, start each sentence out with *I am so happy and so very grateful, I have (am,[link widoczny dla zalogowanych], can . . . Whatever) and list everything you want. This last list is your projection of everything you want coming to you. Be creative. Be happy for lots of money, lots of good health, lots of new things.
Can you imagine what a cancer cell looks like,[link widoczny dla zalogowanych]?
See, the purpose behind giving them an entity, which is what you just did, is so you can get rid of them. If you can't see (imagine) them,[link widoczny dla zalogowanych], you can't get rid of them. Give them an entity, so that entity can dissolve or whatever you choose to happen to them in the paragraphs below.
What a cancer cell is, is blockage. A bunch of cells getting together to block up your system. If you can imagine a cell, then imagine a bunch of cells all getting together to block up your arteries, your lungs, your heart, your kidneys, your gall bladder,[link widoczny dla zalogowanych], and everything else from doing their jobs. Give them a color, a size, a shape, a texture, a smell, and a taste. Yes, a taste. Yuck, huh?

Do you have a *I know what comes next* thought pattern as you remember and visualize what has happened to your friends or family that has gone through this? Or do you think about the horror stories you've heard about or seen on TV?
(And yes, we must think of cancer, or any other debilitating disease, as a *little problem*, so that we can deal with it. If we think it is a * huge, unable to be defeated* problem, we will have trouble thinking we can handle it,[link widoczny dla zalogowanych], right?)
Note: Here's were we can be flexible. You can either see them dissolve, or see them float away, or see them burn up, or see them turn into smoke and disappear. Whatever works best for you, watch this process happen for fifteen minutes.
Now that you are relaxed, visualize an outline of your body with all the cancer cells inside. Now, see those cancer cells begin to dissolve.

It’s easy for a rapidly-growing organization to get fat—and it’s just as easy for a company operating in tough times to get too lean. It’s a lot like the human body: We put on a pound or two, and we don’t really notice it so we don’t worry about it. We keep on eating those little extra goodies, and then we’re up four or five pounds and we’re seeing it in how our clothes fit. By the time we hit 10 pounds,[link widoczny dla zalogowanych], we’re buying new clothes, but that’s okay, we tell ourselves, because we needed those clothes anyway. And we keep gaining a half a pound, a pound at a time,[link widoczny dla zalogowanych], until we wake up one morning and realize we’re obese.

Maybe this time you are seeking donations to help make the wishes come true, or to provide the experiences or products and services that are being wished for.
Another technique you can use to evoke strong emotional responses from your audience involves audience empathy. You have to make them feel your message…
? You get your audience involved when you ask them to imagine if that 'gift' was for a child with a short time to live… play on their emotions.
On a similar theme, maybe you are speaking for an organization like the Make-A-Wish Foundation, again for children.
You see the distraught parents sobbing in the background. You see the little white chalk outline of the small body in its final resting place on the road, with dark blood stains.
Sometimes your talk may be on serious subjects to elicit
Every day these young children take their lives into their own hands playing dodgem in the busy highway traffic just to get to and from school because the local authorities have not provided a safe means for them to cross the road.
If a picture paints a thousand words, the right pictures can do most of your talking and get the gut reaction you are looking for.

Your audience might not be able to relate to a total stranger with a sad story, but they can relate to it when they put themselves in the stranger's shoes by remembering back to a time in their own life that evokes the same or a similar emotional reaction.
To get people to feel involved or want to become involved, you have to appeal to their emotions.
You can stand there delivering cold hard facts, and while you may find the audience agreeing with you, you need to do more to get them feeling strongly enough about it so they will take action.
You sip your coffee and turn the page hoping that something will be done about it…
As a professional speaker, not all of your talks will be designed to be humorous or entertaining in that fashion.
Overheads and slides are useful as tools to provide information for the audience – you can use them to show pictures that will help produce the right emotions.

Day after day I took anything that would stop the chronic cramping and bloating. The doctors did everything they could to figure it out, but back then there was no name for FM. And not only that,[link widoczny dla zalogowanych], I was always told it was hormonal or that I just must have strained something. Then,[link widoczny dla zalogowanych], when I got into my twenties,[link widoczny dla zalogowanych], the symptoms got worse. I only had to stand up and my ankle would go out from underneath me. I had chronic muscle spasms and an intense sensitivity to all senses; from temperatures, to the slightest touch. I finally became diagnosed after a battery of tests ruling out everything that FM could mimic.
I am a woman who is a positive thought author who happens to have the chronic condition of Fibromyalgia. But FM is not who I am; it is only a little piece of me. I am so many other things: a mom, a wife, a daughter,[link widoczny dla zalogowanych], an author, a radio show host,[link widoczny dla zalogowanych], a magazine publisher, and a positive thinker. All of those things are what matter to me.
You are not the chronic illness. You are a person who just happens to have Fibromyalgia and you are always much more than that.
I am a positive thought author. My life is all about living life through positive thought but not only that, I have Fibromyalgia. Now you would never think that someone with this crazy chronic illness could ever be someone who all day long talks about how to be positive no matter what the situation. But it is what I do.
It has made life easier. I have learned how to say no and when to ask for help, two things I wasn't too good at before, but my FM body taught me to listen to me first before making any kind of commitments. And then the positive thought. This is the thing that has helped me the most. Between all the medications,[link widoczny dla zalogowanych], doctor appointments, and watching every move that my body makes, I found that being positive changed the 'feel' of the FM. When fibro flares, instead of getting frustrated I answer it will a deep breath and I relax. I list what I am happy about in my life. I don't ignore the FM but I only give it enough time to hear its voice before I pick back up. You see, you always have freedom within your mind. Even if you are dealing with Fibro Fog one day,[link widoczny dla zalogowanych], you have another day coming where you will be as clear as clear can be. FM jumps around and one day you feel great the next day you are in chronic pain but you can always look forward to a new moment... always.
I began a whole new regimen comprised of gentle exercise, listening to my body, and thinking positive in everything I did. That positive state of mind changed me as a person and changed my look on FM.
FM has given me experiences that have bettered my life. Would I rather not have it? You bet. But if it has to be a little part of me then I decided to learn from it and about myself. So now you see,[link widoczny dla zalogowanych].
So what did I do? I listened. I began to listen to my body. I began to take cues from it. When I would wake up stiff and unable to move I would be gentle on my body, talking it through the steps. Once I would get going I would be able to loosen up a bit and feel somewhat okay. Then as the day progressed I listened to my body,[link widoczny dla zalogowanych], knowing when it was about to have too much. I would step away from work and go rest for a little while. I would read or meditate, but I just listened to what my body was telling me. If I had a full day I would conserve my energy for any kind of big lecture or workshop. I only do gentle exercise. It's as if my body is telling me to ease up and enjoy the view. I have done just that.
Many years ago I had symptoms of Fibromyalgia. (How about we call it FM for short…) I had what we thought were sprained ankles, toes, muscles, knees, arms, and hands almost every week when I was young. They would cast up my ankle 'just in case' and then I would have days when I literally couldn't get up because of the stiffness and my sore body. It was like having flu twenty-four hours a day, but a super duper massive flu that would never let up. Then the stomach problems began.
